This website, operated by Lehoczki Imre (“Artfacility”, “we”, “us”, “our”), showcases artwork and provides information about the Discord bot “Amanuensis” (also known as “AMI” or “Amanuensis 2”). This Privacy Policy explains how we collect, use, store, and protect your information when you visit our website (https://www.artfacility.xyz/) or use the Amanuensis Discord bot (“the Bot”).

By using the Website or adding/interacting with the Bot in a Discord server, you agree to the collection and use of information in accordance with this policy.

Information We Collect

We collect different types of information for various purposes to provide and improve our services.  

  1. a) Information Collected by the Amanuensis Bot:

When you interact with the Amanuensis bot on Discord, it may collect and store the following information, primarily linked to your unique Discord User ID:

  • Discord Identifiers: Your Discord User ID, and the Server (Guild) IDs of servers where you interact with the Bot.  

 

  • Economy and Game Data: Virtual currency balances, XP, levels, item inventories, cooldown timestamps, gambling statistics, game-specific data (e.g., stock holdings, cult game status ), reputation scores, and related interaction data.  

 

  • Profile Customization: User-set preferences for the Bot’s profile feature, such as slogans, colors, backgrounds, stamps, and potentially user-set pronouns.  

 

  • AI Interaction Data (Optional Feature): If the AI features are enabled on a server, the Bot processes message content temporarily to understand context (typically less than 50 recent messages). It may store AI-generated summaries about users (“memory”), including perceived interests or traits derived from conversations. This memory may sometimes be inaccurate or based on misunderstandings. The AI may also process images if requested by the user.  

 

  • Moderation Data: User reports submitted via the Bot (containing reporter ID, reported user ID, reason, timestamp). Flags or actions related to automated moderation features (e.g., scanning new user messages for specific keywords to prevent scams). Data intended to prevent abuse (e.g., potential alt account flags).  

 

  • Interaction Timestamps: Timestamps related to command usage and cooldowns.  

 

  1. b) Information Collected by the Website (Artfacility.xyz):
  • Website Analytics: We use basic, built-in WordPress analytics to collect general information about website traffic, such as the number of visitors and the country they are visiting from. This data is aggregated and does not personally identify you.
  • Comments: If you choose to leave a comment on pages like the novel section, you may provide a name (which can be anonymous) and optionally an email address. Your IP address will also be logged by WordPress as part of the comment submission process. Comments require manual approval before appearing publicly.
  • Cookies: The website uses essential cookies required for basic WordPress functionality. We do not use cookies for tracking or advertising purposes.

How We Use Your Information

We use the collected information for the following purposes:

  • To Provide Bot Functionality: To operate the Bot’s features, including the economy system, games, profile customization, AI interactions, and moderation tools.
  • To Improve Our Services: To understand how users interact with the Bot and Website, identify issues, and develop new features.
  • To Ensure Security and Prevent Abuse: To moderate servers, detect and prevent spam, scams, or violations of rules, and protect the integrity of the Bot and its users.
  • To Respond to User Requests: To process data access or deletion requests made via Bot commands or direct contact.
  • To Operate the Website: To display content, manage comments, and monitor basic website usage.
  1. How Information is Stored and Secured
  • Storage: Bot data is stored in an SQLite database file hosted on a server provided by Vultr. Website comment data (if provided) is stored within the WordPress database.
  • Security: Access to the server hosting the Bot database is restricted using SSH keys and Two-Factor Authentication (2FA). The server is solely dedicated to running the Bot. While these server-level measures are in place, the data within the SQLite database file itself is not encrypted at rest. We take reasonable steps to protect your information, but no method of transmission or storage is 100% secure.
  • Backups: Daily backups of the Bot database are created and stored for up to 30 days for disaster recovery purposes.
  1. Data Retention
  • Bot Data: We automatically delete user data associated with a User ID if the user has not interacted with the Bot (specifically, sent a message) in any shared server for a period of two (2) years. This deletion includes data stored for abuse prevention, as it is considered irrelevant after this time. Backups are retained for 30 days as mentioned above.
  • User-Initiated Deletion: You can request the deletion of most of your stored Bot data at any time using the “Delete ALL data” choice in the “/lobotomy” Bot command. Exceptions include data necessary for abuse prevention or server safety related to you (e.g., reports filed about you by others, system flags). You can specifically delete the AI-generated memory data using the “lobotomy” command with the “Delete ai data” choice.
  • Website Data: Comment data is retained as long as the comment exists on the website or until manually removed. Basic analytics data may be retained indefinitely but is aggregated.

 

Information Sharing and Third Parties

We do not sell your personal information. We only share your information with third parties in the following circumstances:  

  • Hosting Provider: We use Vultr to host the server and database for the Amanuensis Bot. Vultr acts as a data processor and their handling of data is governed by their own policies.
  • AI Service Provider (Optional Feature): If AI features (chatting, image processing) are enabled on a server where you interact with the Bot, the relevant data (e.g., message content, images) will be processed by Google’s Gemini and Vertex AI APIs. Your interaction with these features is subject to Google’s Privacy Policy and Terms of Service. This sharing only occurs if the AI features are actively used.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.  

Your Data Rights (Bot Data)

You have rights regarding the personal data the Amanuensis Bot holds about you:

  • Right to Access: You can request a copy of the data stored about you using a specific Bot command, which will provide the data in a PDF format.

  • Right to Deletion: You can request the deletion of most of your data using a specific Bot command, subject to the exceptions noted in Section 5 (Data Retention).
  • Right to Object/Correct: While direct correction via command might be limited, you can delete inaccurate AI memory using the “lobotomy” command. For other correction requests or concerns, please contact us.

For exercising rights related to website comments (if you provided an email), please contact us.

Children’s Privacy

The Website and the Amanuensis Bot are not directed at individuals under the age required by Discord’s Terms of Service (typically 13 years old, but may vary by country). We rely on Discord’s platform age restrictions. We do not knowingly collect personal information from children under the applicable age limit. If you believe we have inadvertently collected such information, please contact us immediately so we can take steps to delete it.

Cookies (Website)

Our website uses only essential cookies necessary for the basic functionality of the WordPress platform. We do not use tracking or advertising cookies.
